2 2013 AAMI Demonstration Lessons Learned

The following summarizes the discussions and emails up to and including this meeting:

DMC Meeting Friday, June 7

General Comments:

- Al generally agrees with the comments in the emails (summarized below). He and Monroe agree that most visitors don’t want/need a lot of detail, but others do. We need to find a way to address both levels. Monroe added that summary posters near the devices and more detailed posters where visitors can linger.
- Al suggested that traffic was pretty good most of the time, tailing off the last day. Monroe agreed, noting that it was as good or better than in the past.
- Carla suggested a short video introduction to IHE and PCD.

Booth Size and Layout Next Year:

- Carlene expressed uncertainty about space for non-electronic displays.
- Monroe suggested that the layout should encourage visitor flow, readily moving through if not interested in details, slower for those with deeper interest.
- Manny to develop a rough budget and learn what HIMSS will support.

Distributed Demonstration:

- Monroe suggested that a distributed demonstration may provide some benefits to those with booths.

Introduction to IHE Connectathon, HIMSS Showcase:

- Manny described the benefits and financial aspects of the Connectathon and the distinction between testing at the Connectathon and claiming conformance. Manny to confirm New Directions with Sandy, Joyce.

- All the data flow diagrams and graphics we good from a technical perspective. Many people spent allot of time and thought into designing these, but from my experience these posters were too busy for this show.

Someone would need to spend allot of time trying to understand what the message was trying to say on paper and most individuals that walk by or even stopped by only have a few minutes and will not spend that much time to look at all the posters. We are still educating this group so having a poster on PIV or IPEC I felt meant not that much to them. Maybe after we explained some of what these meant but still too busy. Therefore I believe for this conference we need to simplify the look, but not the message. Let me clarify this with the follow comments:

1. For booth identification we need to have large signs:

in very large font in the middle of the booth. When I first came up to the booth I did not know this was the IHE booth since there was no noticeable IHE logo or sign. It was on the posters in small lettering on the bottom left corner and again barely noticeable. I had a few individuals come up and asked if this was the IHE booth.

2. Another sign should promote IHE access by displaying the IHE web site address. And underneath this sign have the business cards and specific flyers like the ones we were handing out on more information about IHE, about all the vendors that are participating members or just how to become a member

3. If the group feels we need to have some sort of flow diagrams then it needs to be designed to be as simple as possible. It has to have large fonts so most individuals do not have to use glasses to read.

4. As to the message I do not believe we need so many posters trying to convey our message on a 8 X 11 piece of poster. I think each participating member at the booth needs to be able to talk at a high level concept about IHE and its efforts for interoperability among all our medical devices and software system applications. Then if the individual needs more specific info about another company we continue directing them to that representative like we did during this show.

- I agree that the booth needs an overall identification header, large enough to be visible from a distance.
- I also agree that the profile specific materials should be readable at a distance, or maybe to avoid removal of meaningful discussion content from the poster we should move them to a free standing panel where you can walk up and read the details or talk to them and keep just the profile name and a one-line description of the profile above the equipment that implements it.

I don't know what our annual poster print costs for all the posters is, but we could consider implementing the posters by navigating a couple of large touch displays, which would add a high tech draw to the booth, and would set the annual posters for profiles cost to the fixed cost for the displays, their mounting and their power. If we had a 20x20 peninsula or island the displays could be on two corners with a large IHE PCD at the top. This would free up visual area above the systems to show just the profile name and one liner. I'm just thinking out loud here. I understand the whole concept must be cost evaluated as we have a limited budget so as to constrain per vendor outlay.

- I'd also like to see the commercial systems poster with either much larger print or just indicate that they can be found at a specific URL and use a QR code to get there. This would also make year to year maintenance easier and would avoid annual printing cost for this poster. If we rolled this into the same touch display as the profile posters it would be scrollable or could be alphabetically indexed by vendor or function aka profile/actor.
- I think we also need a poster indicating participating vendors with logos and booth numbers, and maybe a URL and QR code for contact information.

This redirection might reduce some of the product proprietary feature selling that was taking place having nothing to do with interoperability.

- In brief, more space, simpler signage. Consider the distributed concept, even if it is relatively simple at the participant's booths. A monitor at the Philips booth #810 with a sign that says - "Data from the GE system at Booth 401 - Ask how IHE does this or go to booth 954" would get attention.

PCD Connectathon and Showcase WG 6/11/2013

- Carlene: Posters should focus on what is being shown in each area.
- Carlene: Booth hosts should all have the high level message of what we are trying to accomplish. Monroe added his support and suggested that if use case detail is needed this should be discussed off to the side by someone knowledgeable about the profile. Jeff added that posters should not be behind the devices. Monroe added that the posters in the back would be headings, the detailed ones someplace else.
- Bob suggested a video with end to end interoperability demonstrated. Monroe noted that is the case at HIMSS and this would work well at AAMI. Bob later noted that it isn’t necessary to have more than two or three systems involved to be able to describe data flow. Combined with an “elevator” speech this would provide the needed information.

AAMI 2014:

- Monroe described the 2013 booth, noting that space for handouts and for vendors was barely sufficient.
- Monroe described 10x40 and 20x20 options for next year.
o The linear 10x40 provides 15 vendor spaces and, if not within a longer row, will provide two end poster boards.
o The square booth provides 14 vendor spaces, with 6 only one table deep.
o Carlene noted that the booth appeared crowded at times and the 20x20 may help with that.
- Consider logos next year
- The Commercially Available list should be larger type and other ways to be move visible.

Manny noted that more than 70% of the AAMI 2014 exhibit hall space was already spoken for.

The Tuesday WG meetings will focus on Connectathon, Pre-Connectathon and Virtual Connectathon testing.
